    Job description

    Wetpaint is looking for a Traffic Manager with solid advertising, marketing, or creative agency experience to manage the flow of work across the agency.

    This role is not for a generic project manager. We are looking for someone who understands how agency work moves — from brief to concept, creative development, client feedback, production, reporting, approvals, revisions, deadlines, and final delivery.

    The right person must understand marketing deliverables, campaign timelines, creative pressure, client service demands, reporting requirements, and the importance of keeping teams aligned.

    At Wetpaint, traffic is not just about moving tasks on a board. It is about protecting workflow, improving clarity, reducing delays, and making sure the agency can deliver better work with less friction.

    Key responsibilities

    1. Internal agency traffic and workflow
    You will manage the daily movement of work across the agency.

    Responsibilities include:
    • Facilitating daily scrums with project managers, account managers, department heads, and relevant team members.
    • Understanding the status of creative, digital, reporting, production, campaign, and client service deliverables.
    • Coordinating project flow from brief stage through to final delivery.
    • Ensuring deadlines, milestones, handovers, approvals, and revisions are tracked and visible.
    • Moving work to the correct traffic boards and ensuring cards are updated accurately.
    • Updating traffic cards to reflect upcoming deadlines, assigned people, current status, missing elements, and next actions.
    • Checking all traffic boards daily to ensure cards are active, accurate, and properly managed.
    • Ensuring all changes to deadlines are approved by the relevant team leader, client service team, and client where required.
    • Working with account managers, project managers, creatives, production, digital, and leadership to manage priorities.
    • Identifying potential bottlenecks before they affect delivery.
    • Escalating issues clearly and early.
    • Removing complex roadblocks from daily scrums and setting up separate meetings or alerts where needed.
    • Helping teams stay focused on what needs to move, what needs approval, and what needs action.
    2. Reporting workflow and marketing delivery
    You will manage the traffic and delivery of client reports.

    Responsibilities include:
    • Scheduling client reports according to agreed client deadlines.
    • Ensuring reporting deadlines are loaded onto the traffic board.
    • Managing the reporting workflow from scheduling to internal handover.
    • Ensuring reports are accurate, proofed, and ready before being shared with client service.
    • Ensuring reports are handed over to client service at least half a day before client meetings.
    • Maintaining consistency across reporting templates.
    • Understanding the importance of reporting as part of the client relationship and marketing performance process.
    • Working with suppliers or reporting partners every third month to review new tools, goods, plugins, features, or improvements.
    • Looking for technology, AI, automation, plugin, or reporting advancements that can improve Wetpaint’s reporting offering.
    3. External traffic and client flow
    You will support client service by helping keep client-side approvals, feedback, assets, and project dependencies moving.

    Responsibilities include:
    • Liaising with account service teams on client approvals, missing information, late feedback, incomplete assets, and deadline risks.
    • Helping identify where clients are holding up project flow.
    • Supporting account managers in following up on approvals, missing elements, and required feedback.
    • Ensuring client-side delays are visible to internal teams.
    • Helping manage the impact of late approvals or changing feedback on timelines.
    • Ensuring the correct people are alerted when delays affect delivery.
    • Supporting better flow between Wetpaint teams and client teams.
    This role requires practical agency and marketing knowledge.
    • Creative workflow from brief to concept, development, feedback, revisions, and final delivery.
    • Campaign timelines and the pressure points that affect delivery.
    • Client service processes and approval cycles.
    • The difference between internal deadlines and client-facing deadlines.
    • Marketing deliverables across social, digital, content, creative, production, reporting, and campaign work.
    • How small delays in briefs, assets, copy, design, approvals, or reporting can affect the full workflow.
    • Why accuracy, proofing, timing, and handovers matter in an agency environment.
    • How to communicate with creatives, account managers, digital teams, suppliers, and leadership without slowing the work down.

    The successful candidate should have:
    • Previous experience in an advertising, marketing, creative, digital, media, or production agency.
    • Strong understanding of agency workflow and marketing deliverables.
    • Experience managing deadlines across multiple brands, campaigns, or accounts.
    • Experience working with account managers, creatives, production teams, digital teams, suppliers, and leadership.
    • Strong organisational and communication skills.
    • Excellent attention to detail.
    • Confidence in running scrums, workflow check-ins, and deadline discussions.
    • The ability to manage pressure without creating panic.
    • The ability to identify risks early and escalate clearly.
    • Confidence holding people accountable in a professional way.
    • A strong understanding of why client approvals, reporting, creative development, and production timelines need to be tightly managed.
    This role is not for someone who:
    • Has only managed generic projects outside of an agency or marketing environment.
    • Does not understand creative workflow.
    • Does not understand client service pressure.
    • Cannot work across multiple brands and deadlines at once.
    • Waits for problems to become urgent before acting.
    • Is uncomfortable following up, pushing for answers, or holding people accountable.
    • Treats traffic as admin rather than a critical agency function.
