We are seeking an experienced Operations Assistant to join our operations team.
This multifaceted role is crucial in ensuring exceptional client service and efficient business operations across our African property network.
We have a platform that holds all of our properties and when client requests come in, they are matched to our network of complied property partners. The returned quotes must be scrutinised and captured on our platform and then submitted to our clients within agreed time periods. Most bookings require negotiation.
Key responsibilities
There are 2 key areas of responsibility:
Booking processing and property partner engagement
- Booking Processing
- Process booking requests from clients, agencies, travel managers, and corporate partners
- Source and present appropriate property options to clients
- Negotiate special requirements and terms between clients and properties
- Process confirmed quotes and coordinate with finance team for invoicing
- Handle booking cancellations professionally, enforcing agreed terms
- Hand over completed bookings to guest liaison role
- Ensure property details are accurate and complete on database with current pricing
- Support property onboarding and vetting processes according to defined workflows
- Maintain compliance documentation and processes meticulously
- Track and report on property performance including occupancy rates and client satisfaction
- Load requests onto portal with complete accuracy under Operations Manager supervision
- Provide comprehensive administrative support to the operations team
- Manage client and tenant communication professionally
- Coordinate reservation processes and document management
- Ensure quote requests are sent to property partners via portal
- Load invoices accurately onto accounting platform
- Inform finance department of required client invoices
- Assist with market research as required
- Provide business reporting to support decision making
- Communicate property acquisition needs for new locations or insufficient stock
- Track feedback from client satisfaction surveys
- Tertiary qualification required - preferably hospitality (3-4 year Diploma/Degree)
- Minimum 3 to 5 years' experience in travel/hospitality industry
- Experience in hotel front desk, serviced apartments, or as booking agent
- Understanding of booking travel market essential
- Work experience in hospitality beneficial (our focus is on business travel not leisure)
- Proficient in MS Office Suite (Outlook, Word, Excel)
- Knowledge of MS Teams, MS 365, and Xero Billing
- Strong organisational and time-management abilities
- Basic knowledge of financial processes and invoicing
- Comfort with numbers and data management
- Excellent written and spoken English
- Strong communication skills for diverse audiences
- Ability to work under pressure and meet deadlines
- Experience in negotiating rates with suppliers
- Exceptional attention to detail and accuracy
- Commercial acumen and ability to prioritize effectively
- Cultural sensitivity for diverse business settings
- Project management skills from conception to completion
