Job descriptionSTADIO Higher Education if looking for a position of School Quality CoordinatorPurpose- To ensure that the School achieves academic quality standards and norms as set by STADIO.
- To implement academic requirements set by the senate and the senate quality assurance committee.
- To oversee the development and implementation of quality learning and teaching materials and programme improvement plans and maintain the oversight files for all programmes.
- To manage the review and monitoring of all programmes, ensure compliance with the scheduled programme review cycle, teaching and assessment norms and external moderation and provide an annual report to the quality committee.
- To manage the collation of site visits and Institutional audit evidence.
- To participate in school governance bodies as required.
- To participate in all quality management activities that will enhance quality in the school, as identified by the dean: QA.
Key responsibilitiesManage and monitor programme oversight files- Ensure that all programme oversight files for the School are current, updated, and organised for programme review, site visits and audits.
- Draw data tables from the system and keep records of enrolment, programme demographics, success, throughput, and dropout rates.
- Report to the school QA committee biannually on progress and status in respect of the programmes offered in the school.
- Implement the STADIO integrated quality assurance framework for the school and to submit evidence to the programme oversight files, and report to the senate QA committee annually on progress and status of the oversight files in the School.
Oversee the development of quality learning and teaching materials - Develop and oversee the 5-year improvement plan of teaching and learning materials guided by STADIO materials development norms.
- Monitor and manage the quality of the teaching and learning materials on the Canvas pages for the modules offered by the school.
- Manage the review and renewal of study materials aligned to STADIO’s material design norms according to the agreed programme review schedule.
- Manage the development/review of study guides, working with the relevant discipline leader (DPL) and programme coordinator (PC), including the training of authors, and continued monitoring of quality.
- Manage the process of critical reading and editing of content, as part of the QA process for study guide development.
- Ensure that new module development follows QA processes.
- Propose a budget for the following academic year in support of study guide development for the various programmes in the school.
- Oversee the compilation and maintenance of annual curriculum outlines and Information Packs
Manage the programme review cycle, new programme development and programme and module changes- Plan programme reviews according to the approved programme cycle in collaboration with the QA office.
- Participate in the training sessions facilitated by the QA office and guide the PCs in implementing the review process.
- Ensure the implementation of the programme review template.
- Support the programme coordinators in the programme review cycle, to ensure alignment to the CHE criteria.
- Ensure the extraction of relevant information from the programme oversight files.
- Assist with the compilation of the report per programme.
- Present the programme review reports to the school QA Committee for approval.
- Submit reports to the QA Office for review and processing.
- Submit all proposed programme changes to the QA Office for calculation and approval.
- Support the head of school in new programme development and site extension applications, finalised according to the senate approved schedule.
Develop and implement school improvement plans- Coordinate the implementation of school improvement plans based on the programme review.
- Process and implement improvements based on annual student surveys.
- Process and implement suggestions contained in the student employability and graduate desirability reports.
- Track the implementation of the school improvement plans and report biannually (or as required) to the QA office.
- Submit improvement evidence required for any relevant QA audit.
- Report to the school QA committee quarterly, highlighting upcoming due dates, and success of, and challenges to, improvement implementation.
- Advise the HOS to include outstanding issues raised in the improvement plan in the budget.
- Track and report on all training registers for skills development in the academic team.
Preparation for CHE site visits and CHE audits- Ensure all evidence for the school is collated and available for CHE site visits and audits.
- Collaborate with the QA office to ensure the school is correctly represented during the preparation for the site visit.
- Participate in the CHE site visit as well as the institutional self-evaluation in support of the HoS.
Administration and governance- Represent the school at the senate QA committee.
- Arrange and monitor QA training attendance by school staff.
- Monitor external moderation, manage the database and provide an annual report to the school QA committee
- Implement templates, processes and decisions taken by the senate QA committee
- Compile, manage and maintain the annual school QA management plan.
- Serve as the conduit between the school QA committee and the senate QA committee, ensuring that reports are effectively and efficiently passed between the two structures.
- Support the HOS and PC to plan and host the annual programme stakeholder committees, including attending all programme stakeholder committee meetings, and ensuring the preparation of a detailed agenda for discussion of reviews and changes, based on stakeholder input and student surveys.
- Ensure that the school implements the STADIO commitment to learning and teaching being aligned to the world-of-work, ensure that engagements/activities are rolled-out as per STADIOs’ norms, and report annually to the HOS on the school activities.
School QA committee: - Support the HOS in respect of the school quality assurance committee, serving as secretary to the committee.
- Manage all relevant processes as required by the QA Office and ensure that all matters are brought to the attention of the school QA Committee.
Qualifications and experience- A Bachelor hons degree or 4-year level 8 qualification
- 5 years of experience in higher education.
Skills and competenciesKnowledge: - Knowledge of quality assurance and accreditation requirements for higher education institutions.
- Experience in quality assurance and accreditation requirements for higher education institutions will be a strong recommendation.
